  • Maintain attendance records, report monthly attendance to the district and take minutes of Board meetings.
  • Maintain all member files and update Rotary International and Buckhead Rotary Website when new member joins or existing member terminates.
  • Encourage attendance, communicate attendance rules and make up policies to the club and phone those who are consistently absent.
  • Order badges, pins, new member packages, etc.

Treasurer
Alec Smythe

 

  • Prepare budget, maintain banking records, bill and collect dues, pay bills, send out late notices and report income and expenses to the board monthly all in accordance with club's bylaws.
  • President, President Elect, Treasurer and Secretary plan the budget for the Treasurer to submit to the board for approval during the first meeting of the year.
  • Provide accountant necessary information to file annual tax return.

Sergeant-at-Arms
Billy Mixon

 

  • Assure meetings run smoothly, check guests in and collect guests and meal exempt members' lunch fees.
  • Display flags, banners and assure speaker has necessary equipment for presentation.
  • Coordinate weekly meeting schedule and facility set-up with restaurant.
  • Arrange Board of Directors meetings.

Archivist-Historian
John Dykes

 

  • Maintain club files and assure club, officers and directors are in compliance with club bylaws and RI Manual of Procedure.
  • Review and/or recommend revisions to club bylaws to maintain consistency with present policies and procedures and RI Manual of Procedure.
  • Files include Bylaws, RI Manual of Procedure, Articles of Incorporation, RI Charter, Tax Returns, Club Registration and Board Meeting Minutes.
  • Club History - prepare a recap of the year to be included in History of Buckhead Rotary.
